Job Summary:
The Project Manager will play a critical role in overseeing the planning, execution, and successful delivery of live events. The ideal candidate will have a proven track record in managing live event projects from inception to completion, ensuring they are delivered on time, within scope, and within budget. This role requires an individual who is highly organized, proactive, and capable of working independently as well as collaboratively with internal teams, clients, vendors, and stakeholders.
Key Responsibilities:
Event Planning & Strategy: Develop, execute, and oversee all aspects of live event production, ensuring alignment with client goals and expectations.
Project Scope & Management: Define project scope, objectives, and deliverables in collaboration with key stakeholders. Establish project timelines, allocate resources, and monitor progress.
Budgeting & Financial Oversight: Develop and manage event budgets, track expenses, and ensure projects remain within financial parameters. Identify cost-saving opportunities without compromising quality.
Team Coordination: Collaborate with internal teams, including production, logistics, creative, marketing, and technical staff, to ensure seamless execution of events.
Client Relationship Management: Serve as the primary point of contact for clients, ensuring clear communication, setting expectations, and providing regular updates. Address concerns promptly and professionally.
Vendor & Supplier Liaison: Source, negotiate, and manage relationships with vendors, suppliers, venues, and partners to secure necessary resources and services. Ensure vendor agreements align with project requirements and budget constraints.
Risk Management & Problem-Solving: Identify potential risks, develop contingency plans, and implement solutions to mitigate challenges throughout the project lifecycle.
Logistics & Operations: Oversee event logistics, including venue setup, transportation, staffing, equipment rentals, and on-site execution.
Technical Support: Provide guidance and technical support to clients and team members throughout the event planning and execution process. Ensure all technical requirements are met, including audiovisual, staging, and production elements.
Event Documentation: Prepare detailed project documentation, including project plans, schedules, production run sheets, and post-event reports. Maintain records of lessons learned for continuous improvement.
On-Site Management: Lead and oversee on-site event execution, troubleshooting issues as they arise and ensuring a smooth event experience for all stakeholders.
Continuous Improvement: Analyze post-event feedback, gather insights, and make recommendations for improving future event production processes.
Compliance & Safety: Ensure all events comply with industry regulations, health and safety standards, and venue requirements.
